Privacy Statement
We respect your privacy and do everything we can to protect your personal data. In this privacy statement, you can read which personal data we process from you and why this is necessary.
Why do we need your personal data?
We provide advice regarding insurance, mortgages, and offer solutions for business risks and employee benefits. In addition to advising on which financial products suit your wishes and needs, we support you in the establishment and possible maintenance of these products.
We use your personal data for the following purposes:
- Concluding and executing an agreement between you and us. And between you and the provider of a financial product;
- To comply with legal obligations, such as preventing and combating fraud against financial institutions;
- Statistical analysis; and
- For our "legitimate business interest." Here we process your personal data to establish and/or maintain and expand a relationship with you.
Of course, we only use the data necessary for these purposes. In other words, we ensure that whenever personal data is used, only those data that are accurate, adequate, relevant, and not excessive are used.
Which personal data do we process from you?
To properly advise you on which insurance, mortgage, and solutions suit your situation, we engage in a conversation with you. Depending on the type of insurance and/or mortgage you wish to take out, we need your personal data. All our employees have signed a confidentiality agreement, obliging them to handle your personal data carefully. Depending on the insurance and/or mortgage you have chosen and the continued provision of our services and/or offering of our services, we require the following personal data:
- Identification details, such as your name, surname, date of birth, place of birth, identification number, policy number(s), and email address;
- Financial details, such as bank account numbers, invoices, credit notes, pay slips, the value of your house or other assets, your credit history and borrowing capacity, the financial products you purchase from us, whether you are registered with a credit register, your payment arrears, and your income;
- Socio-demographic details, such as whether you are married or have children;
- Data about online behavior and preferences, such as the IP address of your mobile device or computer and the pages you visit on this website; and
- Other data you share with us, for example, when you contact us or complete an online survey.
Depending on the insurance product and/or mortgage you choose, we may also process special personal data from you.
Special personal data
Criminal history
For risk assessment purposes in relation to non-life insurance, we may ask questions about any criminal history. Criminal acts that occurred more than 8 years ago do not need to be reported.
Copy of identification card
For some insurance policies (e.g., life insurance) and mortgages, we need a copy of your ID card to establish the insurance/mortgage agreement. We will communicate to you on a case-by-case basis whether we need your BSN number or not to process the insurance or mortgage. If we do not need your BSN number and photo, you can use the government app CopyID. With this app, you can take a photo of your ID card, cross out your BSN number and photo, and send it to us by email.
Financial data
To conclude certain insurance policies or a mortgage, we need financial data from you, such as your income, pension, or assets under already existing insurance policies. If you provide a copy of your bank statement, it is sufficient to include the name and address details, account number, and total assets. You can redact withdrawals on your bank statement.
Data about children
We only process data about children if they take out a product through us or if the parent(s)/guardian provide the child’s personal data when taking out a product through us.
Consent
We consider the following situations as an indication that you consent to the use of your current and future personal data:
- Your voluntary provision of personal data to us. Directly or through another financial service provider, representative, or your employer;
- Your explicit consent or agreement within a written, oral, or electronic application for insurance/mortgage or handling of a claims process; and
- Your oral or written consent, which we have requested for a specific purpose.
Your consent may also be provided by an authorized person, such as a guardian, representative, or power of attorney holder.
Retention periods
We do not retain your data longer than necessary for the purposes for which it was collected and processed. We have a retention policy based on statutory retention obligations. Your personal data is not retained longer than the statutory retention obligation unless we have a legitimate interest, for example, if there is an ongoing legal procedure.
Marketing activities
We like to maintain our relationship with you. We do this by, among other things, offering you products and/or services that match your wishes, needs, and previously purchased products/services.
If you are not yet a customer, you will only be contacted by post or by phone. Naturally, you will not be contacted if you are registered in the Do Not Call Register or the Post Filter.
We always offer you an option to opt-out of our commercial services.
Cookies
When you navigate our website, we may collect information using common information collection tools such as cookies and web beacons. The cookies placed in your browser may be used by us and/or third parties for remarketing purposes, analyzing your website visit, displaying advertisements, and/or making commercial offers to you. The programs we use for (re)marketing are services from Google (including AdWords) and SharpSpring and may also include social media advertising platforms such as Facebook and LinkedIn. Providing personal data to third parties
Both in the context of preparing our advice and when you ask us to carry out parts of this advice, it may happen that we need to contact insurers, lenders, experts, occupational experts, and others who are relevant to the realization of the financial security you are aiming for. We only share your personal data with these third parties as far as they genuinely need it to perform the tasks requested by us.
As a company, we have several (IT) suppliers. We use the services/applications of these (IT) companies so that we can, among other things, store your personal data in your file. In accordance with the General Data Protection Regulation (GDPR), these (IT) suppliers are considered processors. We have entered into a data processing agreement with all our suppliers. In the processing agreement, we stipulate, among other things, that all parties must maintain confidentiality regarding your personal data.
We may also share your data with other entities within the Howden Group Holdings that support us in our services to you.
Your privacy rights
You have the following privacy rights:
You may always request an overview of the personal data we have about you. We will provide you with this overview free of charge.
If you believe that we have processed certain data about you incorrectly in our records, you can request correction. We highly appreciate this, as we can only do our job properly if the data we work with is correct.
If you no longer want us to process certain data from you, you can request us to delete this data. Of course, we will comply with your request unless we are unable to do so due to legal requirements or regulations.
We have stated above how we use the data you provide us. If at any point you wish to limit this use, you can let us know.
If you wish, you can ask us to transfer your data to a third party. For example, your accountant, lawyer, or bank. After receiving your request, we will execute your request as soon as possible.
